  • Identification data: Name, date of birth, Id number/ NIE, workplace/school.
  • Contact data: Address, email address, telephone number.
  • Health data (Special categories): Information about your oral and dental health, medical history, medication, previous treatment, x-rays, medical records, treatment plans and other information necessary to provide you with safe and effective care.
  • Financial information: Payment information, invoices and information related to any insurance.
  • Technical data: IP address, browser information, geographical location and other data collected via cookies when you visit our website (see section 9 on cookies).
  • Communication: Correspondence via letter, email, contact form or social media.
  • Marketing: The collection of information to improve our communication with existing and potential patients.

  • Directly from you: When you book an appointment, visit our clinic, fill out forms, communicate with us by phone, email or social media.

How long do we keep your data?

We only keep your personal data for as long as necessary for the purposes for which it was collected. Patient records are kept according to the time frames established in Spanish healthcare legislation. Financial transactions are kept according to the Accounting Act. Data collected with your consent is kept until you withdraw your consent.


4. Purposes and legal basis for processing

We process your personal data for the following purposes and on the following legal grounds:

  • To provide dental care and healthcare services:
    • Purpose: Diagnosis, treatment, follow-up and administration of your care.
    • Legal basis: The processing is necessary for reasons related to preventive healthcare, medical diagnosis, provision of healthcare or treatment, or management of healthcare services (Article 9.2 h GDPR). We also have a legal obligation to document your care in accordance with the Patient Data Act.
  • To administer the patient relationship:
    • Purpose: Booking, appointments, reminders, invoicing and payment processing.
    • Legal basis: Performance of contracts (when you book an appointment, we enter into a contract to provide a service) and legitimate interest (for the efficient administration of the clinic).
  • To comply with legal obligations:
    • Purpose: Accounting, reporting, reporting to authorities and compliance with requirements in the Patient Data Act, archive legislation, etc.
    • Legal basis: Legal obligation.
  • To develop and improve our services:
    • Purpose: Quality assurance, internal statistics and analysis to improve our healthcare processes and services.
    • Legal basis: Legitimate interest. We use de-identified or aggregated data to the greatest extent possible for this purpose.
  • For our marketing:
    • Purpose: Sending out information letters via email or social media.
    • Legal basis: We always request consent for these. You have the right to withdraw your consent whenever you want.

5. How we protect your personal data

We take appropriate technical and organizational security measures to protect your personal data against unauthorized access, modification, dissemination or destruction. This includes, among other things:

  • Access controls: Restricting access to personal data, only to be accessed by personnel who need it to perform their duties.
  • Encryption: Using encryption for sensitive data.
  • Firewalls and security software: To protect our networks and systems.
  • Confidentiality agreements: All personnel who handle personal data are bound by a duty of confidentiality.

  • Tax Agency, social services or the police.
  • Payment intermediaries: When paying for healthcare services.
  • Insurance companies: Only with your explicit consent if required for reimbursement or to handle cases.

We will never sell your personal data to third parties.


7. Transfer to third countries

We strive to process your personal data within the EU/EEA. If, in the unlikely event, personal data is transferred to a country outside the EU/EEA, we will ensure that the transfer takes place in accordance with applicable law, for example by using the EU Commission’s standard contractual clauses and additional safeguards where necessary.
